The trigger was,
“Not enough time. Can’t handle it…”
The office was filled with files: meeting minutes, daily reports, phone comment sheets, client files, contracts, resumes, fax files. Desks were cluttered with copies and a large number of staplers.LAN cables sprawled like a mesh under the desk.
With every increase in clients, time became scarce.Handling phone calls while flipping through thick files.To cope with the growing piles of paper, we ended up renting an entire room as a storage space.
We realized we had to systematize things or we wouldn’t be able to handle it anymore.We made our in-house systems compatible with telework and achieved improved work efficiency.It was a bold decision made in a time before telework was a common term.
The Story of the Transitioning to Telework
We decided, “Let’s consolidate the tools!”
We requested the development of a business management system in Pearl.We communicated incoming and leaving messages via flip phones.We also made it possible to input communication tasks by flip phones.Salaries were calculated automatically.We attempted to upload videos but had to give up due to insufficient bandwidth.It was a time when we were determined to go all the way.
We upgraded with PHP, adding features such as inquiry management, automated output for clients, email templates, bulletin boards, recruitment management, and integration with our website.Along with in-house development, some stuffs simultaneously began working from home.It was a period of spreading the new work style.
Skype and the company’s internal system have been used to start operations between Tokyo and Osaka, and Skype has increased the number of “telecommuters”.We conducted meetings on Skype.There was a period when clients often rejected the suggestion of “Let’s have a meeting on Skype” and preferred to meet in person.
Matching and employment guides and manuals for human resources have been added to the system.
We transitioned from fax to the internet.Although the paperless system was progressing, documents were still requested by clients to be printed, stamped, and sent, and the system was not completely paperless.

Telework has become the norm for us over time.
Initially, there were challenges associated with changing work styles, but by clearly communicating the purpose and reasons to our staff, telework became part of our company culture.
While implementing telework doesn’t solve all problems, it was the best choice for our company.
Here are some of the notable changes that occurred as a result of implementing telework:
Reduced emotional arguments,
increased analysis of client information.
As the system was built, there were fewer “phone calls” for communication tasks and less “emotionalism” in sharing information within the company through text input and pull-down canned text selection. We were able to analyze the current situation calmly.
Increased awareness of time
and self-discipline among staff.
Through teleworking, the staff themselves have become aware of the tension, in a positive sense, of being watched by someone in the company.Task management and work time management were effective in raising awareness and increasing the efficiency of each task.
